OH MY LOG! CHAMPIONING LOGBOOK SUCCESS

Maintaining DEA-compliant logbooks is one of the most tedious, frustrating and challenging parts of controlled substance recordkeeping. Ensuring that controlled substances being dispensed and administered to patients are consistently documented and balanced out when you’re running a busy practice is an ongoing struggle for veterinary professionals. While there is no “quick fix” to magically solving logbook challenges, there are ways to make the process easier. This session is designed to address various controlled substance logging challenges veterinary professionals experience by taking a practical approach to tackling the logging process in a way that champions success. Key areas, include:

  1. Compliant Logs: Have you ever lost sleep wondering if your controlled substance logbooks are compliant? More importantly, what is the DEA definition of compliant? The answer is simple – compliant log entries balance out to zero…every time. If they don’t, you have some investigating to do. While properly balancing your logbooks is critical, it is not the only component in determining if your logs are compliant. Learn how to accurately balance log entries by documenting the right information, how to properly setup logbooks as well as best practices for ensuring that whatever logging system you use is working for rather than against you.
  2. Discrepancies: If you haven’t experienced a discrepancy within your logbooks, you either haven’t been working in the veterinary industry very long or you haven’t ever reconciled your logbooks! Discrepancies are bound to happen. When they do, what do you do? Learn how to handle controlled substance log discrepancies when they arise, methods to resolve them and what to do if you run into a discrepancy that cannot be resolved.
  3. Reconciliation: Reconciliation is the process of ensuring that two sets of records are in agreement. If you are not reconciling your controlled substance logs on a regular basis, you have no way of knowing if discrepancies exist or if your inventory matches up with what your logs show as being used. Learn best practices for conducting reconciliations and tips for streamlining the process.
  4. Hub Loss: What constitutes hub loss, how it is determined and what is considered an “acceptable” amount of hub loss has left many veterinary professionals scratching their heads. Learn what the DEA’s position is on hub loss, how to account for it and tips for ensuring that your controlled substance logs properly document it.
  5. Getting Wasted: Still unsure how do you document, log, and account for controlled substance waste? The wasting process is a common culprit when it comes to logbook discrepancies because documenting waste it is often overlooked. Learn what is required for documenting controlled substance waste and best practices for making sure it is properly documented.

SPEAKER: Peter Weinstein, DVM, MBA

Dr. Peter Weinstein attended Cornell University undergraduate and the University of Illinois to receive his DVM.  He acquired his MBA from University of Redlands. Dr. Weinstein has worked in small animal private practice as an associate and as a practice owner.  In the veterinary industry, he acted as Medical Director overseeing the Claims Department for Veterinary Pet Insurance. Dr. Weinstein uses his wealth of experience and expertise to provide small business and corporate consulting via his company, PAW Consulting. Dr. Weinstein has always been very active in organized veterinary medicine at the holding officer roles at the local and state level.  He also ran the Southern California Veterinary Medical Assocation for 14 years prior to retiring from his role as Executive Director in order to pursue other interests, including teaching at Western University.

Dr. Weinstein has been the recipient of many awards over the years including the 2018 Speaker of the Year for the Western Veterinary Conference Practice Management Section and in 2021 for the VMX Practice Management section. Dr. Weinstein  co-authored with Michael E Gerber, “The EMyth Veterinarian- Why Most Veterinary Practices Don’t Work and What to Do About It”. Dr. Weinstein has spoken and written extensively on practice management, team building, leadership, collegiality, marketing, and other topics focused on making the veterinary profession better for all those affiliated with it.

Dr Weinstein lives in Orange County, California with his wife Sharon and two dogs.

SPEAKER: Kelley Detweiler

Kelley Detweiler is a DEA & regulatory compliance professional who provides controlled substance solutions to the veterinary, healthcare, supply chain and pharmaceutical industries. She is the coauthor of “Safeguarding Controlled Substances” published by AAHA in February 2021. Kelley speaks for various industry associations and writes for multiple publications including Analytical Cannabis, Packaging World, AAHA and Today’s Veterinary Business. Kelley also serves on the Board of Directors for the New Jersey Cannabusiness Association is the Head of Regulatory Affairs for a leading international supply chain company.
